Servers and service accounts

Provision / maintain / decommission servers; create / rotate / retire service accounts; due reminders and editable templates.

Open the page

IT admins open Servers & service accounts from the server icon in the IT (or Dev) top bar - route /servers. Tabs: Servers, Service accounts, Due soon, and Templates.

Servers

Add a server with a name and optional hostname. Work the checklist stages Provision → Maintain → Decommission (status tracks where you are). Mark checklist items done as you complete them; retire when the host is gone.

Default template items cover placement, OS baseline, domain join, monitoring, patches, backups, certificates, and decommission wipe steps - edit Templates to match your shop.

Service accounts

Add a service account with name, display name, owner email, and notes. Stages are Create → Rotate password → Retire. Track last rotated and next password-due (typically +1 year).

Use Mark rotated after a successful rotation to advance the due date. Never paste passwords into tickets - store secrets in your vault.

Due soon and reminders

Due soon lists accounts approaching or past next password-due. Lifecycle can email password-due reminders using Settings → Notifications From. Open Rotation instructions (book link) for the dual-password / staged cutover runbook.

Templates

Templates edit the shared checklist labels for server and service-account stages. Changes apply to how new work is guided; keep wording actionable and shop-specific.
